People
People is your team directory, with or without a login: employees, contractors and part-timers. It has four tabs: Directory, Teams, Leave and Time.
People and Members & access
They are different on purpose:
- Settings > Members & access decides who can sign in and what they can open.
- People is everyone you work with, plus HR details: manager, start date, cost, pay, leave and time.
A contractor can be in People without a login. When you want them to sign in, click Invite to sign in next to their name and pick their access role. Once they accept, the Login column shows their role. Anyone who already has a login appears in People too.
Directory
Add a name, email, role title, manager, employee or contractor, and start date. Add cost rate and pay if you manage People.
Every member can see the directory. Cost and pay are only shown to people who manage People, and they never go into the Company Brain.
Teams
Group people into Teams with a lead. A lead sees their Team's people, leave and time.
Leave
Anyone can request leave for a date range, with an optional reason. Their manager is notified (or the Founder if they have no manager with a login) and approves or declines. The person can withdraw a request, and overlapping requests are refused.
Time
Members log their own time: date, minutes, billable or not, and optionally the Project or Task. Each entry keeps the person's cost rate at that time, so Project cost and billable utilisation stay correct after a pay change.
Onboarding and offboarding
Adding a person suggests an onboarding checklist; setting an end date suggests offboarding. Once you approve, it creates Tasks in a People Ops Project: accounts, equipment, introductions and the first week, or access removal and handover. It never removes anyone's access itself; that stays your call in Members & access.
Getting the best out of People
- Add everyone, not just those with logins. Contractors and part-timers belong in the directory too.
- Set a manager for each person, so leave requests go to the right person.
- Set cost rates and ask the team to log time against Projects. You'll see what each client really costs.
- Approve the onboarding checklist on the day someone is added, so their first week is planned.
- Ask Chat: "Who's on leave next week?", "How many billable hours did the design team log in September?"
